Application and frequently asked questions

The TUM Graduate School provides funding to doctoral candidates to support participation in international conferences and research visits abroad.

Several funding schemes are available, each following different regulations and addressing different target groups. Please read the following information carefully - from top to bottom - until you find the option that matches your situation.

Please note: If you are not employed by TUM (e.g., scholarship holders), travel expenses can only be reimbursed after the trip has been completed. TUM staff members may apply for partial reimbursement in advance, according to the applicable regulations. In this case, the application form below must be included in both reimbursement applications.

Application and refunding

Please submit the completed and signed application to us either in person or via (internal) mail. After reviewing it, we will return the approved application to you.

All further steps - business trip approval, travel expense processing and reimbursement - are handled exclusively by the Travel Expenses Office (Reisekostenstelle) or by TUM-GS.

Please include the approved application and send all required documents directly to the responsible office. Do not send any reimbursement documents to GC-NAT.

After completing your trip, please submit the following documents directly to the TUM-GS Accounting Office:

  • Application for approval of a business trip (Dienstreiseantrag)

  • Signed payment order issued by the Travel Expenses Office (not a draft)

  • All receipts, invoices, and any additional documentation related to the trip

  • Fully signed application for internationalization funding

The TUM-GS Accounting Office will handle all further processing. There is no need to submit business trip approvals or reimbursement documents to the Graduate Center NAT at any stage.

TUM-GS Internationalization Support

Who?

Doctoral candidates who are members of the TUM Graduate School (registered on the Promotionsliste after January 1st 2014) and who have a TUM employment contract or a scholarship.

How much?
  • up to 1300 € for shorter stays or other international travel (e.g., conferences)

  • up to 2700 € for a research stay abroad of at least 4 weeks (€1300 plus an additional €1400)

Conditions
  • Participation in the TUM-GS Kick-off Seminar

  • Completed Feedback discussion (if not completed, please contact GC-NAT at promotion@nat.tum.de)

  • A stay abroad, such as:

    • presentation of own scientific results at international conferences

    • participation in international summer/winter schools or workshops

    • research stays (as a rule: at least two weeks)

  • Application submitted via www.docgs.tum.de under “Reimbursement: international activities”

    Only the current online form is accepted!

  • TUM staff: submission of a business trip application (“Dienstreiseantrag”)

  • Scholarship holders: confirmation (signed and stamped) from the scholarship agency stating that no travel funding is provided

  • Travel expense tally (“Reisekostenabrechnung”, issued by the Reisekostenstelle)

  • If total costs exceed the funding limit: list of additional funding sources (consider the Initiativ-Fonds below!)

TUM-GS Internationalization Grant

Who?

Excellent doctoral candidates who are members of the TUM Graduate School but who do not have a TUM employment contract and do not hold a scholarship.

How much?

up to 1600 €

Conditions
  • Submission of an application for the Internationalization Grant (grants are awarded after the end of each quarter)

  • Completed feedback discussion

  • Stay abroad as described above (presentation, international school, workshop, or research stay of at least two weeks)

  • External employment or salary (industry, external institutions, etc.) must be unrelated to the doctoral research

  • After the stay: travel expense tally

Application documents:
  • Application form for the TUM-GS Internationalization Grant files/Application_Form_TUM-GS_Internationalization_Grant.pdf

  • CV + publication list

  • A convincing written statement by the doctoral candidate, clearly explaining:

    • the funding situation of the doctorate

    • the organizational and substantive separation between external employment and doctoral research

  • Support letter from the supervisor

  • Invitation letter from the host institution, summer school program, confirmation of paper acceptance, or similar documentation
