Teaching report for organizations¶
Quick guide / Overview¶
Data is recorded via the new DSSNAT system:
https://app.srv.nat.tum.de/lufv/
Here you can either select an organization (e.g. chair) or, as a lecturer/secretary, the respective courses of the unit. Navigation between the different views / areas is via labeled graphics at the bottom of the browser window.
Course view¶
If you click on the “Courses” graphic at the bottom of the window, you will see a selection list of courses for which you are responsible. (Graphic “Courses” turns blue)
Here you can enter the persons involved (e.g. lecturers) for the respective courses. Persons from other groups can also be entered here (if involved).
Organization / Overview view¶
Click on “Overview” at the bottom. (Graphic “Overview” turns blue)
If you have access to several organizational units (as secretary etc.), you must first select the appropriate one. Then you can select the semester WS 2022/23 or SS 23 that you want to edit.
In the list of employees of the organization, the respective persons can then be selected and the corresponding teaching achievements can be entered for the two semesters.
Missing persons / accounts¶
It is possible that no service account has yet been created for individual persons.
Change to the “Overview” mode within the ogranisational unit. Almost at the bottom right there is a field “Create account” to add members of your own organization. The TUM-ID of the person has to be entered.
Teaching Performance Report (Lehrleistungsbericht)¶
For all academic staff, the actual teaching performance achieved each semester must be documented and summarized in a report. At the end of each academic year (in November), the TUM School of Natural Sciences must report the total teaching performance of the academic staff to the university administration, which in turn reports to the Ministry of State. To prepare this report, the Dean requires a semesterly report on teaching performance from each working group of the School.
Professors and civil servants are required to submit an individual teaching performance report to the School Office each semester. For other academic staff, the head of the respective organizational unit submits an overall report to the School Office.
In addition to teaching, the same system is used to record school services that support teaching (in particular correction, examination supervision, etc.) in order to distribute the work associated with teaching fairly. For this purpose, two balances are kept in each account:
in LVS: teaching service against teaching obligation according to SAP
in points/credits: Total participation in school services
The balances in LVS support the teaching performance report that the school must submit each academic year. Based on the credit balance, individual doctoral students can demonstrate to the Graduate Center that they have successfully completed their studies.
Reporting the teaching data¶
Teaching performance is recorded via the “Teaching performance report” application in the DSSNAT frontend.
During the lecture period, provisional accounts are created for all academic staff and all doctoral students. The respective group secretariat or other persons with authorizations at the organizational unit can adjust these accounts or add further accounts.
Teaching performance and teaching services can be entered in several ways:
1. Lecturers or course administrators¶
the supervision of practicals or exercises can be entered in TUMonline as lecturers of the respective course or by persons with authorizations at the organizational unit for all persons who have supervised in this course at once: https://app.srv.nat.tum.de/lufv/courses
In the “Courses” tab, select the semester in the gray “Semester” field. Then select the course (sorted by course number). Now select the person (either scroll or use CTRL-F browser search) and enter the teaching points by entering the number of students. Then click on the blue “Update job entries” button at the bottom right. Unsaved entries are highlighted in dark gray (like the second field in the penultimate row of the table in the example below) and have a green line under the field. As soon as these entries are saved, the field background turns light gray (like all other fields in the table in the example below).
3. Scientific staff or PhD students¶
The account holders themselves can edit entries for themselves, but these require confirmation by the management of the organisational unit or its authorised representative: https://app.srv.nat.tum.de/lufv/person
The accounts are pre-assigned with values derived from the TUMonline course announcement. Check this information and adjust it to the actual teaching work performed, i.e. delete teaching work that you have not performed yourself and adjust the estimated values. Please note in particular that the number of students must be added for courses in which enrolment did not take place via TUMonline.
Correction of errors in organisational assignment or teaching duties¶
The organisational assignment in the teaching performance report is based on the assignment in SAP. Incorrect assignments must therefore always be corrected by the HR department in SAP. Only then should you please contact studium@nat.tum.de.
The teaching commitment is calculated by HR1 in SAP on a daily basis, i.e. absences, e.g. due to illness, are taken into account. If staff are subsequently rebooked, it is generally not possible to take this change into account in the teaching performance report. However, as the head of the organisation, you can accept an individual shortfall in the teaching commitment of this person in such cases, which is then compensated for by the normal compensation between the teaching staff.
Report on the teaching performance of the organizational unit¶
For scientific staff other than professors, academic advisors, senior advisors and directors, the head of the organizational unit must submit an overall report on the teaching performance of the organizational unit. After the teaching performance of the individual persons has been entered and checked, print out the report (“Generate Report”) and hand it in signed to the School Office.
Integral report¶
In exceptional cases, it is also possible to report the teaching performance of academic staff in the organizational unit to the School Office as an integral report if the detailed evidence of the individual teaching performance is available in the organizational unit. In these cases, please use the form for the integral teaching performance report and transfer the number of academic employees with teaching commitments (section “Employees (budget funds, etc.)”) and their total teaching commitments from DSSNAT and add
the total teaching performance in LVS: the total number of teaching hours provided by all academic employees (not by professors or civil servants, who always submit the individual report) assigned to the organizational unit in the corresponding semester - regardless of whether these persons have a personal teaching obligation or not.
As well as for the academic employee(s) with a personal teaching commitment, the following teaching performance included therein.
to fulfil one’s own teaching obligation: the total number of course hours taught by academic staff members who are assigned to the organizational unit and have a personal teaching obligation in the corresponding semester in order to fulfil this teaching obligation (i.e. a person in a regional position with a teaching load of 5 LVS who has taught a total of 6 LVS contributes 5 LVS to this)
in addition to their own teaching obligations: the total number of course hours taught by academic staff members who are assigned to the organizational unit and have a personal teaching obligation in the corresponding semester in addition to their own teaching obligation (i.e. the above-mentioned person in a state position with a teaching load of 5 LVS who has taught a total of 6 LVS contributes 1 LVS)
- Please note:
we advise against submitting the report in integral form, but recommend documenting the teaching performance of the individual persons directly in DSSNAT, which is necessary anyway. In the case of an integral report, the data is not available in the School Office; any disadvantages that arise for you or your employees are your sole responsibility.
Fixing reports and confirming accounts¶
Secretariats can fix the report of the organizational unit as soon as their work is finished and they send the written report. This fixes the reports of all teachers in the organizational unit. This confirms that all services - including those recorded by the teachers themselves - have been entered correctly. This means, for example, that doctoral students do not enter services that have not taken place. By fixing, editing is blocked and no services can be added or deleted.
Alternatively, you can only fix this individual report for a single person in the account view if it is complete.
